How to Resize a Signature for Online Forms: Clean Scan, Exact Pixels, Right KB
Resize a signature to the exact pixels and 10–20KB range online forms ask for. How to sign, scan, clean and size it for SSC, IBPS, UPSC and other portals.

To resize a signature for an online form, crop the scan tight to the ink, set the exact pixel size the notice asks for, and save it as a JPG inside the KB range — often 10–20KB on exam and job portals. Most rejections come from the picture rather than the file size, so this guide starts with the pen, not the software.
Read your notification first
Signature requirements are set for each recruitment, not once per organisation, and they change between notices. A few examples from official notices current at the time of writing:
| Notice | What it asks for |
|---|---|
| SSC CGL 2026 and CHSL 2026 (ssc.gov.in) | JPEG/JPG, 10–20KB, about 6.0 × 2.0 cm — though another section of the same notices gives 4.0 × 2.0 cm |
| IBPS guidelines (for example, an RBI recruitment on the IBPS portal) | Black ink on white paper, 140 × 60 pixels preferred, 10–20KB, JPG/JPEG, no capital letters |
| UPSC Civil Services 2026 | Sign three times, one below the other, in black ink on plain white paper; file limits are in the upload instructions on upsconline.nic.in |
The SSC row is why you read the whole document: two different widths appear in one notice. A size given in centimetres describes a shape — 6.0 × 2.0 cm is a 3:1 strip, 4.0 × 2.0 cm a 2:1 strip — while the format and the KB range are what the upload actually checks; the IBPS guidelines say an error is shown if either is wrong. Whatever form you are filling in, the numbers in its own notification beat anything here, our presets included.
Sign it so it survives compression
- Plain white paper, black ink. It is what IBPS and UPSC specify. Blue ink photographs lighter, and faint strokes are the first thing heavy compression blurs.
- A pen with a firm line. A gel pen or felt tip gives a solid stroke; a fine ballpoint can break into dots once the signature is 140 pixels wide.
- Your normal running signature. IBPS does not accept signatures in capital letters, and its guidelines warn that a signature not matching the one you sign at the exam can disqualify you.
- Sign a little larger than usual, inside a box roughly the shape the form wants. The image will be scaled down, and small strokes scaled down disappear.
Scan or photograph it cleanly
A flatbed scanner is ideal — the IBPS guidelines ask for at least 200 dpi. A phone works just as well if you control the light:
- 1Lay the paper flat near a window, not under a ceiling light that throws the phone's shadow across the page.
- 2Hold the phone directly above the paper and parallel to it, so the signature is not skewed.
- 3Fill the frame with the signature area rather than the whole sheet, and tap on the ink to focus.
- 4Switch off any filter or effect before you take the picture.
Crop tight and whiten the background
Every pixel of grey paper is a pixel not spent on your strokes. Open the photo in the crop tool, use free-form mode, and draw the box a few millimetres outside the ink on every side. If the notice gives a shape, crop to roughly that proportion now, so nothing has to be cut off later.
A phone photo of white paper almost never comes out white — it is grey or faintly yellow, which looks dirty to a reviewer and wastes bytes. The image enhancer has a Scanned setting and free exposure and contrast sliders: raise them until the paper is white and the ink is solid, and stop before the strokes start to break up. If the edges look soft afterwards, the Soft or Medium preset in the sharpen tool is plenty at this size.
Hit the pixels and the KB in one pass
This is where most people bounce between three tools. The photo and signature resizer does the whole job in one step:
Pick the Signature preset
It starts at 140 × 60 pixels and 10–20KB — common values, not an official specification. Change the width, height, minimum and maximum KB to match your notice exactly.
Drop in your cropped signature
It is cropped to exactly that shape, centred on the most detailed part of the picture — the ink — and resized.
Let it find the quality
It saves a JPG at the highest quality that fits under your maximum, and only reduces the pixel size if quality alone cannot get there.
Reach the minimum if needed
A clean 140 × 60 signature is often only a few kilobytes, below a 10KB floor. Tick the option to reach the minimum and it pads the JPG with an empty comment block. The picture does not change, and the file stays under your maximum.
The free tier handles one image at a time — a new image replaces the last, so do the signature, download it, then do the photo. Pro takes up to 100 in one pass.
Exact pixels, a KB range and a JPG in one step. It all runs on your device, not our servers.
Resize your signatureDoing it by hand instead
If a form asks for something the resizer does not produce — a PNG, say — use the general tools in order. Set the exact dimensions in the image resizer; its aspect-ratio lock is off by default, so the width and height you type are what you get, and an uncropped signature will be stretched to fit. Then enter the maximum in the compressor's target-size mode.
Resizing a signature to 20KB or to 50KB is the same process with a different number. The method for any limit is in resizing images in KB for online forms, the very low end in compressing an image to 20KB, and the photo that goes with the signature in the passport photo size guide.
Why the upload still fails
- The file is a different format inside. A PNG renamed to
.jpgis still a PNG. Convert it properly with the image converter. - It is under the minimum. Turn on padding, or use larger dimensions if the notice allows them.
- The signature is miniature. SSC notices reject blurred or miniature signatures. The ink should fill most of the frame, which is what the tight crop is for.
- The filename. Spaces and symbols trip some validators. Rename it to something plain like
signature.jpg.
Frequently asked questions
What is the signature size for online forms?
It varies by form. Exam and bank portals commonly ask for a JPG of 10–20KB; IBPS guidelines prefer 140 × 60 pixels, while SSC notices describe the shape in centimetres. Always use the figures in your own notification.
How do I resize my signature to 20KB?
Crop the scan tight to the ink, then use the photo and signature resizer with the maximum set to 20. It saves the highest-quality JPG that fits. A signature is mostly white paper, so it fits 20KB easily.
How do I resize a signature to 50KB?
The same way, with the maximum set to 50. At that budget you can use larger pixel dimensions if the form allows them, which keeps the strokes smoother.
Why does the portal say my signature file is too small?
It is under the form's minimum KB — clean signatures compress to a few kilobytes. Turn on the option to reach the minimum, which adds an empty comment block without changing the picture, or use larger dimensions.
What size should a signature be for SSC?
The SSC CGL and CHSL 2026 notices ask for a JPEG/JPG of 10–20KB, about 6.0 × 2.0 cm — while another section of the same notices says 4.0 × 2.0 cm. Check the notice for your exam and keep the file inside 10–20KB either way.
Can I use a phone photo of my signature?
Yes. Sign on white paper, photograph it from straight above in daylight, crop it tight, whiten the background, then resize. That usually beats a rushed scan.
